United Nations International Children’s Emergency Fund (UNICEF) is seeking to fill the role of Operations Associate.

Responsibilities

  • Ensure proper upkeep, maintenance and/or replacement of office premises, office furniture and equipment
  • Prepare all corporate and individual SSAs
  • Ensure that there is always an adequate supply of non-expendable property, maintain accurate control of the inventory, and participate in their physical verification
  • Provide operational and administrative support activities for the organisation of internal management and operational meetings
  • Arrange for airport and hotel pickups and all other matters relating to the reception of staff and visitors
  • Assist in providing logistical support for meetings, workshops and training courses
  • Arrange for the issuance of travel requests and authorisation to staff and government counterparts
  • Assist in providing briefing, advice and information to all categories of staff covering HR, supply, administrative and HR rules, procedures and policies
  • Prepare, on own initiative, correspondence, reports, briefing, etc. on HR and other operations matters
  • Supervise the work of the drivers, and operations assistant who are staff members, in addition to coordinating the work of cleaners through corporate SSAs
  • Assist in ensuring an effective communication system in the office
  • On a periodic basis, review the personnel filing system and recommend appropriate adjustments and improvement
  • Maintain and update operational, policy, management and confidential files and records
  • Make travel arrangements for the supervisor and other unit staff and perform liaison duties with other sections/units
  • Prepare briefing materials for the supervisor
  • Organise supervisor’s appointments and maintain supervisor’s calendar
  • Administer travel arrangements of supervisor
  • Prepare, on own initiative, correspondence, reports, evaluations and justifications, as required, on general operational and administrative issues and specialised tasks which may be of a confidential nature
  • Liaise with the country office and support requests relating to HR administration

Requirements

  • University degree or equivalent in Management Sciences or Social Sciences
  • Six years, minimum, of experience in office administration and human resources
  • Fluency in oral and written English
  • Knowledge of another UN working language and working language of the duty station will be a plus
