The International Labour Organisation (ILO) has opened applications for the role of Finance and Administrative Assistant.

The mission of the ILO is to promote rights at work, encourage decent employment opportunities, enhance social protection and strengthen dialogue on work-related issues.

Responsibilities

  • Analyse, evaluate and monitor a variety of complex financial documents, accounts to identify and investigate anomalies or wrongly posted transactions and to determine corrective action
  • Carry out all operations required for expenditures under development cooperation funding, ensuring the most rational use of the funds
  • Monitor accounts regarding allocations and expenditures and make adjustments to optimise utilisation of the funds
  • Draft and clear administrative correspondence relative to budgetary matters
  • Prepare detailed cost estimates and budgetary forecasts
  • Prepare background information, periodic and ad hoc reports for use in programme and budget preparations
  • Participate in budget analysis and projections, as required, and provide information upon request
  • Act as a certifying officer for proposed obligations
  • Ensure smooth functioning of the project administration and operation support in close collaboration with other administrative and operation support staff through the provision of management and administrative support to the project
  • Participate in the preparation of financial data to be included in the financial report and audited financial statements
  • Train and provide guidance to officials on financial and budgetary issues
  • Brief and assist international staff, experts and consultants on all aspects of administration-related matters
  • Provide interpretation of financial and administrative rules, regulations and procedures
  • Participate in the organisation of special meetings and coordinate all important administrative arrangements for conducting workshops/seminars and trainings
  • Make travel and hotel reservations, prepare travel authorisations and assemble information pertinent to the purpose of travel
  • Review all incoming correspondence which requires action
  • Prepare on own initiative correspondence and reports, as required, on general administrative or other related tasks, including those of a confidential nature
  • Prepare periodic administrative statistics, reports and correspondence
  • Provide guidance and supervise the work of junior administrative and/or other support staff
  • Perform other relevant duties as assigned

Requirements

  • Secondary school education supplemented with training in an area related to accounting and/or finance, general administration and office support from a recognised commercial school or equivalent
  • Six years, minimum, of progressively responsible administrative work, including in a supervisory role
  • Practical experience using standard office software packages, email and automated information management system
  • Experience dealing with confidential matters with discretion
  • Knowledge of the relevant project and programme area and the office’s operations will be ideal
  • Excellent knowledge and command of English and good knowledge of Amharic
